What happens behind the scenes when you book a private jet?

28.04.2026

From the outside, booking a private jet looks simple. A quick call, a confirmation, and a few hours later you’re stepping onto the aircraft. But behind that smooth experience, a lot is happening.

At The Aviation Factory, every flight is carefully built from the ground up. Aircraft selection, permits, ground handling, timing - all of it is coordinated in real time, often under tight deadlines.

It’s not something most clients need to think about. And that’s exactly the point!

In this article, we’ll take you behind the scenes and show what really happens from the moment you request a flight to the moment you take off - and why that process matters more than you might expect. From our HQ in Antwerp to our teams across the globe, we’re constantly working behind the scenes to make sure everything runs exactly as it should!

It starts with your request

Every flight begins with a simple question: where do you need to be, and when?

But behind that question, there’s a lot more to it. When you reach out to us, we don’t only look at the route itself, we also take a moment to understand the full picture:

  • How many people are traveling?

  • Are you flying for business or leisure?

  • Do you have luggage, skis, pets, or special requests?

  • Is your schedule fixed, or do you have some flexibility?

These details might seem small, but they make a big difference. A quick hop for two passengers is a very different mission than a last-minute group flight with tight timings and deadlines. The more we understand upfront, the better we can tailor the solution to your unique needs!

From there, we translate your request into a clear flight plan. Not something technical on your end, but a practical starting point for us to work with. Think of it as setting a strong foundation so everything that follows goes smoothly.

Finding the right aircraft for the mission

Once we have a clear picture of your trip, the real work starts: finding the right aircraft for the mission.

We look at your route, your timing, your preferences, and then tap into our network to see what’s actually available at that moment.

Today our aircraft database contains some 7,500 aircraft of which we know where they are, how to rent them, and how serious the operator is. From Alaska to Timboektoe. With thousands of aircraft in our system, there’s usually more than one option. The key is knowing which one makes sense for you.

  • Does the aircraft have the right range without unnecessary fuel stops?

  • Is it positioned close enough to avoid extra costs?

  • Does it match the level of comfort you expect?

  • Can it operate from your preferred airports?

This is where experience really matters. Two aircraft might look similar on paper, but perform very differently in practice. And sometimes, the cheapest option isn’t the best one, especially if it creates delays, compromises comfort or safety, or limits flexibility.

We’ll typically come back to you with a small selection of carefully chosen options, not dozens. Each one is explained clearly, so you know exactly what you’re getting.

From your side, it feels simple: you choose what works best. From our side, it’s about making sure every option is the right one.

Vetting the operator

When we shortlist aircraft, we’re not just looking at the jet itself. At the same time, we’re already looking at who operates it and if they meet the highest standards. This is something most clients never see, but it’s a big part of what we do.

Not every operator is the same. Even if two aircraft look identical, the quality behind them can vary. That’s why we look beyond availability or price, we look at who’s actually flying the aircraft:

  • Is the operator properly certified and compliant with international regulations?

  • What’s their track record? Have we worked with them before?

  • How experienced is the crew assigned to your flight?

  • Do they consistently deliver reliable, high-quality service?

Over the years, we’ve built a trusted network of operators we know and work with regularly. We know how they perform, how they handle changes, and how they treat clients. That insight is something you simply don’t get from a booking platform.

Designing the flight

Once the aircraft and operator are confirmed, we start putting the entire flight together. This is where everything comes together, and where details really matter.

From your side, it feels like things are already set. But behind the scenes, we’re coordinating multiple moving parts to make sure your journey runs exactly as expected:

  • Airport and slot coordination: Securing the right departure and arrival windows, especially at busy airports, during high season or around popular events

  • Ground handling and FBOs: Making sure your arrival and departure are smooth, discreet, and fast

  • Catering and onboard requests: From specific meals to drinks and personal preferences, everything is arranged in advance

  • Passenger details and logistics:  Ensuring all information is correctly communicated to the operator and handling teams

  • Special requests: Pets, extra luggage, last-minute changes, ground transport - we make sure nothing is overlooked

We act as the central point of contact between you, the operator, and all parties involved. You don’t have to follow up with different teams or worry about details being missed.

Everything is aligned before the day of departure, so when you arrive at the airport, it simply works.

Permits, paperwork and compliance

When a flight crosses borders, there’s more involved than just getting from A to B. Every country has its own rules, and making sure everything is in order is essential for a smooth trip.

This is another part where we step in as your central point of contact.

  • Passenger information and documentation: We collect and verify all required details in advance, so there are no surprises at the airport

  • Customs and immigration coordination: We align with the operator and handling agents to ensure everything is prepared before you arrive

  • Special requirements: Visas, pet documentation, or specific entry conditions are checked and communicated clearly

  • Ongoing follow-up: We stay on top of everything with the operator and partners to make sure nothing is missed

For you, this means showing up at the airport and moving through the process quickly and without hassle. No last-minute paperwork, no confusion, and no delays!

Real-time coordination before departure

As your departure approaches, things become more dynamic. This is where we stay closely involved to make sure everything remains aligned.

In private aviation, small changes can happen. A slight delay, a slot adjustment, a last-minute request or even the rare AOG (technical issue grounding the aircraft). Our role is to stay on top of it, so you don’t have to.

  • Final confirmations: We double-check all details with the operator, crew, and ground handling teams

  • Timing alignment: Ensuring everyone involved is working on the same schedule

  • Monitoring updates: If anything changes, we react immediately and keep everything coordinated

  • Direct communication:  You always have a clear point of contact if you need anything or want to adjust your plans

Most of this happens quietly in the background, and from your perspective, it’s very simple: everything is ready when you are.

The day of the flight

On the day itself, everything should feel effortless. No queues, no confusion - just a smooth, well-organized departure.

Before you arrive, all details have already been confirmed with the operator and ground handling team. They know exactly who you are, when you’re arriving and what to expect.

You simply drive up to the private terminal, park nearby, and walk straight inside. Formalities are kept to a minimum - usually just a quick ID check, sometimes even done in the lounge. Within minutes, you’re on your way to the aircraft, ready to board.

Timing is flexible as well. If you arrive a bit earlier, or slightly later than planned, there’s often room to adjust. That’s part of what makes flying private so comfortable.

And while you’re stepping on board, we’re still quietly keeping an eye on things in the background, making sure everything stays aligned.

What happens if something changes

Even with the best planning, things can shift. A meeting runs late, a passenger changes plans, or an airport slot moves slightly. That’s part of aviation.

The difference is how those changes are handled.

As your broker, we stay involved and react quickly to keep everything on track. You won’t need to call different parties or figure things out yourself - we take care of it.

Because we know the operators and understand how they work, we can move quickly when needed. That flexibility is a big part of the value we bring.

Why this process matters for you

Most of what we’ve just described? You’ll never actually see it. And that’s exactly how we like it.

Because when everything is handled properly, booking a private jet should feel easy. You tell us where you need to be, we come back with a few solid options, and the rest just… works.

But the difference is in how it works.

At The Aviation Factory, we don’t just send you a list of aircraft and let you figure it out. We make a selection first. We filter. We question things. We look at the operator behind the aircraft, not just the aircraft itself. We think ahead - what could change, what could cause delays, what could be done better? That’s experience talking.

We’ve seen what works, and we’ve seen what doesn’t. So instead of reacting, we anticipate. Instead of offering everything, we offer what actually makes sense for you.

That’s also why our clients come back. Not because booking a jet is difficult - but because they know that with us, it’s done right. And that gives a different kind of confidence. Not just that there’s an aircraft waiting, but that everything around it has been thought through.

At The Aviation Factory, we’ve been doing this for over 26 years. We know the operators, we understand the details, and we know where things can go wrong - so we make sure they don’t.

If you’re considering your next flight, or just want to understand what’s possible, feel free to reach out. Just tell us where you need to be - we’ll take care of the rest!
